Privacy Policy

This policy applies to the Procore2Acumatica service at procore2acumatica.com, operated by MIX2MAX, LLC.

1. Who We Are

This Privacy Policy explains how MIX2MAX, LLC collects, uses, discloses, and protects information in connection with Procore2Acumatica, an AI-assisted Procore and Acumatica integration service available at procore2acumatica.com. MIX2MAX, LLC also operates the development company website at mix2max.com.

For payment and subscription purposes, charges for Procore2Acumatica may be processed under MIX2MAX, LLC through Clerk Billing, Stripe, or related payment processors.

2. Information We Collect

Account and organization information: name, email address, company name, organization membership, role, authentication identifiers, and related account settings.

Billing information: plan, subscription status, billing address, transaction metadata, tax information, and payment processor identifiers. Full card numbers are handled by payment processors and are not stored by Procore2Acumatica.

Integration information: Procore and Acumatica connection settings, OAuth token metadata, encrypted or protected credentials where required to operate the service, company/entity identifiers, schemas, field definitions, mapping rules, sync configuration, and webhook configuration.

Customer workflow data: records, payloads, normalized fields, sync jobs, sync logs, error logs, audit events, conflict records, AI mapping prompts, AI outputs, and support information you submit or make available through connected systems.

Usage and device information: pages viewed, actions taken, timestamps, IP address, browser and device information, diagnostics, security logs, and service performance data.

3. How We Use Information

We use information to provide, secure, operate, troubleshoot, and improve the service; authenticate users; manage organizations; process billing; connect Procore and Acumatica; generate mapping proposals; run sync workflows; detect conflicts; send service notifications; provide support; comply with law; and protect against fraud, abuse, or security incidents.

We may use aggregated or de-identified information to understand product usage, improve reliability, improve onboarding, and develop service features. We do not use Customer Data to identify you in public marketing materials without permission.

4. AI Processing

The service may send schemas, mapping instructions, selected payload fields, prompts, logs, or related context to AI and observability providers to propose mappings, explain sync issues, generate summaries, and support traceability. We limit this processing to what is reasonably needed to provide and support the service.

AI output may be inaccurate or incomplete. You are responsible for reviewing AI-assisted mappings, sync decisions, and any recommendations before relying on them for accounting, ERP, invoice, budget, payment, tax, legal, or compliance workflows.

5. How We Share Information

We share information with service providers that help us operate the service, including Clerk for authentication, Clerk Billing and Stripe for subscription billing and payments, Supabase for database services, Vercel and Fly.io for hosting, Inngest for workflow execution, Hookdeck for webhook delivery, Anthropic or other AI providers for AI-assisted mapping, LangSmith for AI observability, Resend for email, Sentry for error monitoring, and similar infrastructure, security, support, or analytics providers.

We share information with connected platforms such as Procore and Acumatica as needed to perform the integrations and sync workflows you configure.

We may disclose information if required by law, subpoena, court order, governmental request, or to protect the rights, safety, property, or security of MIX2MAX, LLC, customers, users, third parties, or the public.

If MIX2MAX, LLC is involved in a merger, acquisition, financing, reorganization, sale of assets, or similar transaction, information may be transferred as part of that transaction subject to appropriate protections.

6. Cookies and Similar Technologies

We use cookies and similar technologies that are necessary for authentication, session management, security, billing checkout, preferences, and service operation. Third-party providers such as Clerk and Stripe may set cookies or collect technical information when their services are used.

7. Data Retention

We retain information for as long as reasonably needed to provide the service, comply with legal and tax obligations, resolve disputes, enforce agreements, maintain audit logs, support security investigations, and operate backups. Retention periods may vary depending on the type of data, customer configuration, legal requirements, and contractual commitments.

You may request deletion of account or organization data, subject to legal, security, backup, billing, audit, and contractual retention requirements.

8. Security

We use reasonable administrative, technical, and organizational safeguards designed to protect information, including access controls, encrypted transport, protected credential handling, tenant-aware data access, logging, and monitoring. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.

9. International Transfers

MIX2MAX, LLC and its service providers may process information in the United States and other countries. These countries may have privacy laws different from those in your location. Where required, we use appropriate safeguards for cross-border transfers.

10. Your Choices and Rights

Depending on your location, you may have rights to access, correct, delete, restrict, object to, or receive a copy of certain personal information. You may also have the right to withdraw consent where processing is based on consent.

11. Customer-Controlled Data

When we process data from Procore, Acumatica, or other customer systems on behalf of a customer organization, the customer may be the primary controller or business for that data. If your information is controlled by one of our customers, we may direct your request to that customer.

12. Children

The service is intended for business use and is not directed to children under 13. We do not knowingly collect personal information from children under 13.

13. Changes to This Policy

We may update this Privacy Policy from time to time. If changes are material, we will take reasonable steps to notify users through the service, email, or another appropriate method. Continued use of the service after an update means the updated policy applies.
